Privacy Statement

We (Stichting Jeugdfonds Sport & Cultuur Nederland) take privacy very seriously and handle the personal data we collect and process with care. When processing personal data, we comply with the requirements of the General Data Protection Regulation ("Privacy Act"). We are responsible for the data we process and for compliance with the Privacy Act (the Privacy Act refers to this as the "controller").
We would like to inform the persons whose personal data we process about how we handle that personal data and what rights these persons have.
1. The situations in which we obtain personal data
We receive personal data in various situations. Because we want to be as specific as possible in the information we provide, these situations are discussed in turn below.
You or your child would like to participate in soccer, music lessons, gymnastics, street dance, judo, theater lessons, or another sporting or creative activity with our help. To assess your application and provide you with the best possible assistance, we need information about your family. We obtained this information through an intermediary we contact. More power This could be a person who is familiar with your family, such as a teacher, neighborhood sports coach or debt counselor, or a larger organization with whom we collaborate, such as Founding Tuition fee or Foundation Together is not AloneWe may also have received the information through an application form that you completed online. However, this information is private. We want to keep you fully informed about what we do with your data.
First, a quick note: who are we? We are the Dutch Youth Fund for Sport & Culture (National Foundation). We collaborate with a local Youth Fund for Sport & Culture foundation in your area to help as many children and young people as possible. You can find the names and contact details of all local foundations here. youthfundsportculture.nl/fund-in-the-neighborhood.
The national foundation and the local foundations have access to your family's data. We are jointly responsible for complying with the laws and regulations regarding the protection of your data. We have, however, divided the responsibilities among ourselves. If you would like to know exactly who is responsible for what, please contact us using the contact details found under 2, "Information regarding the exercise of data subject rights."
What data do we use (process) and why do we process this personal data (purposes)?

After we have received your family's information, we may still need to retain it due to financial and administrative (legal) retention obligations.
We also use certain data because we need to be able to demonstrate how the money we help has been spent.
In addition, we sometimes use some of your data to answer questions from you or the Meerkrachten about the assistance we provide to you.
E-mails Youth Fund Sports & Culture Amsterdam
Parents who have a current application with the Jeugdfonds Sport & Cultuur Amsterdam will be contacted by email a maximum of two times per school year with additional information about the possibilities at Jeugdfonds Sport & Cultuur Amsterdam.
Can we request and store this information from you?
Fair question! The answer is yes. We need some of this information to execute an agreement: we commit ourselves to providing something to a child. We store other information, such as the child's date of birth and information about the parents/guardians' income, because we have a legal obligation to do so. legitimate interest Without this data, we cannot help children or assess whether we can help children, and that is precisely what we want. We may also use the data because another party (for example, the municipality) has a legitimate interest This concerns a party that wants to use the data for research. Your privacy remains our top priority.
If you do not agree with us processing and storing this data, you can always ask us to stop doing so (right to objectWe explain how this is possible at the bottom of this page under 2 "Information regarding the exercise of rights of data subjects".
How long do we keep the data?
We retain your family's data for 10 years after the accountability period within which the subsidy awarded to us is received and the application is submitted. An accountability period lasts a maximum of 4 years. Once this retention period expires, we delete the data.
Who do we provide the data to?
We only share your information with third parties when necessary. For example, we share your child's name and date of birth, phone number, and email address with the club where your child would like to participate in sports or creative activities. We ask that club to use your phone number and email address only to contact you in case your child can't find their way to the club for any reason (even though that's possible). We also share your child's name and date of birth with the store for supplies they need.
In addition, the person or institution that registered the family with us (the More power) the data, if you came to our court via a Meerkracht.
The data is stored in our application and registration system. The administrator of this system has access to the data. If the service desk is contacted about a technical issue with an application, the administrator of the service desk software can access the data.
It's also possible that a research agency receives the data for research and monitoring purposes for grant providers. We will only cooperate with this if the agency guarantees that the data will be encrypted so that it cannot be directly traced back to you.
Judo
If you choose judo, we share your information (first name, last name, gender, address/city, email address, date of birth, judo club, and the start and end dates of your membership) with the Dutch Judo Association (JBN). In addition to being a member of the judo club, your child is also required to be a member of the JBN.
Collaboration with the Jarige Job Foundation
In 2024 and 2025 we will be working with the Jarige Job Foundation throughout the Netherlands (stichtingjarigejob.nlThe Jarige Job Foundation can help by providing a birthday box. We will only share your information if the parent/guardian gives Meerkracht permission to receive assistance in other areas besides the Youth Fund. The parent/guardian will receive an email from the Jarige Job Foundation about the delivery of the birthday box.
Collaboration with the Leergeld Foundation
In 2024 and 2025 we will be working with the Leergeld Foundation in a number of municipalities (leergeld.nlFor example, the Leergeld Foundation can help with school supplies, a laptop, or a bicycle. We will only share this information if the parent/guardian gives Meerkracht permission to receive assistance in other areas besides the Youth Fund. The Leergeld Foundation will contact the parent/guardian directly.
Processors
Other organizations we've engaged to assist us may also receive data if necessary to help the child. We only engage third parties if the rights and obligations outlined in this privacy statement are guaranteed.
International transfer
The Youth Fund uses the services of processors whose servers are primarily located within the EEA (European Economic Area). In addition, data is processed in countries outside the EEA for IT systems. This happens as little as possible and only when sufficient safeguards are in place to ensure the transfer complies with applicable laws and regulations.
Parental requests
If a parent/guardian applies for a city pass (via applications.jeugdfondssportencultuur.nl) or via hulp.jeugdfondssportencultuur.nl? Then read on.
City Pass
If the family lives in Amsterdam, Weesp, or Breda and has a city pass, the parent/guardian for the child can apply for a city pass themselves, without having to use Meerkracht. You can apply yourself via the website. applications.jeugdfondssportencultuur.nl/amsterdam or apply.jeugdfondssportencultuur.nl/breda. The parent/guardian then provides us with all the necessary information so we can initiate the application for the child.
Parent application route
If the parent/guardian for the child via the website hulp.jeugdfondssportencultuur.nl When a request is submitted, we will search for a Special Needs Support Officer (Support Officer) at the child's school or in the neighborhood. Once the Special Needs Support Officer is found and linked to the child's request, the Support Officer will receive the information.
The administrator of the website where the parent/guardian submits the request has access to the data. The request can be paused, and the data entered up to that point will then be temporarily stored. In that case, we retain the submitted data for 14 days so the parent/guardian can complete the request. If the request is not completed within 14 days, we and the website administrator will delete the stored data.
We (Stichting Jeugdfonds Sport & Cultuur Nederland, a national foundation) process (a technical term for – simply put – 'use') the personal data that the "Meerkracht" provides when registering on the foundation's website ("Personal Data"). Since we collaborate with local foundations, those local foundations also process the Meerkracht's Personal Data. The names and contact details of the local foundations can be found at youthfundsportculture.nl/fund-in-the-neighborhoodWe and the local foundations (hereinafter collectively referred to as "JFSC") are jointly responsible for compliance with privacy legislation. If you would like to know exactly who is responsible for what, please contact the helpdesk of the national foundation using the contact details found under 2 "Information regarding exercising data subjects' rights."
This statement contains information about how JFSC handles the Personal Data of Meerkracht.
What data do we process?

Why does JFSC process the Personal Data of Meerkracht?
JFSC processes the Personal Data of the Meerkracht (1) to assess the reliability of the Meerkracht, (2) for the purpose of correspondence/contact with the Meerkracht, which concerns contact/correspondence in the context of the Meerkracht submitting support applications as well as in the context of correspondence to be sent by JFSC in support of the purposes of JFSC, (3) to enable the Meerkracht to submit applications for support from JFSC and (4) to enable parents/guardians of children to find a Meerkracht near them by publishing Personal Data of the Meerkracht on our website (www.jeugdfondssportencultuur.nl).
In addition, JFSC processes the Personal Data of Meerkracht for the purpose of (5) complying with legal (retention) obligations and accounting for the subsidies received and (6) complying with the administrative obligation.
On what legal basis does JFSC process Personal Data?
Because Meerkracht agrees to JFSC's terms and conditions when registering as a Meerkracht member of JFSC, Meerkracht enters into an agreement with the national foundation, under which Meerkracht provides services to JFSC. Certain processing for the purposes mentioned above under (2) and (3) is necessary for the execution of that agreement.
In addition, the processing of the Personal Data of Meerkracht is necessary for the promotion of the legitimate interest of JFSC. JFSC must be able to rely on the reliability and integrity of Meerkracht and be able to communicate with Meerkracht to achieve its objectives (helping as many children as possible). JFSC also processes Meerkracht's personal data for internal administration purposes. Meerkracht has the right to object to the processing of personal data based on a legitimate interest of JFSC. More information about this can be found at the bottom of this privacy statement.
The JFSC requests prior consent for the publication of Meerkracht's Personal Data online for the purpose of its searchability. Meerkracht can withdraw this consent at any time, although the processing of Personal Data up to the point of withdrawal remains lawful.
How long will Meerkracht's Personal Data be retained?
JFSC retains your personal data for 10 years after the end of the accountability period during which the subsidy awarded to us is received and during which the last application was made through the relevant Meerkracht, due to the obligations arising from the subsidies received by JFSC and financial and administrative (legal) retention obligations. An accountability period lasts a maximum of 4 years. Once the retention period expires, JFSC deletes the data.
To whom does JFSC provide the Personal Data?
JFSC shares Personal Data with third parties only to the extent necessary for the purposes for which the Personal Data is processed.
Third parties to whom we provide certain Personal Data are the parent(s)/guardian(s) of the child to whom the Meerkracht is linked, the administrators of the Youth Fund websites, the application and registration system we use and the administrator of that system.
If you contact the service desk of this application and registration system about a technical problem with an application, the administrator of the service desk software can access your data. Our accountant may also process your Personal Data, to the extent necessary to audit our financial administration, as may the government, such as the Tax and Customs Administration, for the purpose of (tax) audits.
Your personal data may also be accessed or processed by processors we engage to support us in our work. We only engage processors if the rights and obligations set out in this privacy statement are guaranteed.
The Youth Fund uses the services of processors whose servers are primarily located within the EEA (European Economic Area). In addition, data is processed in countries outside the EEA for IT systems. This happens as little as possible and only when sufficient safeguards are in place to ensure the transfer complies with applicable laws and regulations.
We process (personal) data from visitors to our websites by placing cookies. More information about this can be found in our cookie statement.
We provide this personal data to parties affiliated with us to ensure the proper functioning and optimization of the website and to attract (new) website visitors.
We do not store these personal data for longer than necessary for the purposes for which we process them.
1.4 People who start a campaign or make a donation
Via the website myyouthfundaction.nl Individuals and companies can register to make a donation or raise money for the Youth Fund for Sports & Culture.
Through the websites support.youthfundsportculture.nl, jeugdfondssportencultuur.nl/steun and jeugdfondssportencultuur.nl/de-muziekfabriek (hereinafter collectively referred to as: jeugdfondssportencultuur.nl/steun) individuals and companies can make a donation to the Jeugdfonds Sport & Cultuur.
What data do we process?
We only process the data that is on myyouthfundaction.nl and jeugdfondssportencultuur.nl/steun are left behind.
Why do we process these personal data (purposes)?
We process these personal data to:
- To facilitate opportunities for companies and individuals to make a donation or start a fundraising campaign;
- To collect the donation or the money raised through the campaign and to process that donation;
- To comply with our legal administrative obligations;
- To be able to contact those who are interested in raising money for the Youth Fund for Sports & Culture or making a donation to the Youth Fund for Sports & Culture.
On what legal basis do we process personal data?
The data processing is necessary for the pursuit of our legitimate interest: raising funds.
How long do we retain personal data?
The personal data will be kept for 7 years after the campaign has ended or after the donation has been made.

To whom do we provide the personal data?
We provide personal data only to individuals who work for us and to third parties to the extent necessary for the purposes stated above. Third parties to whom we provide personal data include the developer and administrator of the campaign platform, the administrators of the Youth Fund websites, and the IT service provider.
Donation at the checkout of shops
In some stores, it's possible to make a donation to the Youth Fund during checkout. When making such a donation, personal data is processed to process the donation. This personal data is not visible to the Youth Fund and is not stored by the Youth Fund.

We process personal data of the contact persons at the clubs and institutions where our children participate in sports or cultural activities, and of the stores where children purchase accessories with our help ('sports, culture, or accessories providers'). If a provider is self-employed and the sole proprietorship's data can be traced back to an individual, we also process their personal data.
What data do we process?
Name, address, and contact details of the provider and their contact persons. In the case of a sole proprietorship, the IBAN number is also personal data that we process.
Why do we process these personal data (purposes)?
- Carrying out approved applications for financial aid;
- Processing and checking invoices/vouchers;
- Communication with the provider;
- Compliance with our legal administrative obligations.
On what legal basis do we process personal data?
We have a legitimate interest in processing the personal data of our creditors' contact persons: enabling children to participate in sports or a cultural activity.
How long do we retain personal data?
The personal data of the creditor (contact person) will be retained for a maximum of 14 years from the moment we assisted the child, namely for up to 10 years after the end of the accountability period.

We, and our local foundations, inform people who have expressed an interest in us about our activities through newsletters and other forms of communication.

How long do we retain personal data?
The personal data of individuals who receive our communications will be retained for the period during which they are registered. If consent is withdrawn, we will delete the relevant data.
To whom do we provide the personal data?
We provide personal data only to individuals who work for us and to third parties to the extent necessary for the purposes stated above. Third parties to whom we provide personal data include the website administrator, the email processor, marketing agencies engaged by us, and our IT service provider.
The Youth Fund uses the services of processors whose servers are primarily located within the EEA (European Economic Area). In addition, data is processed in countries outside the EEA for IT systems. This happens as little as possible and only when sufficient safeguards are in place to ensure the transfer complies with applicable laws and regulations. If Mailchimp is used, personal data may be processed outside the European Economic Area. Mailchimp does this based on a model contract approved by the European Commission. Our ambassadors are very important to us: they ensure that more and more people become aware of what we do.
What data do we process?
- First name, last name, email address, photo and video material;
- Contact details of the ambassadors' management;
- Personal data that appears in a possible interview for our website.
Why do we process these personal data (purposes)?
We process the personal data to (1) show who our ambassadors are, (2) to have contact with the ambassador or his/her management and (3) for PR purposes, which means that we use the ambassadorship to raise awareness for the Youth Fund Sport & Culture in various ways.
On what legal basis do we process personal data?
We process the ambassador's personal data because it is necessary to fulfill the agreement we conclude with the ambassador. The same applies to processing the contact details of the ambassador's management.
When we use personal data to promote a specific campaign, promotion, or project, this is not strictly necessary for the execution of that agreement, but we have a legitimate interest in doing so. This legitimate interest concerns gaining brand awareness, increasing the reach of our message, and building a positive image around that message.
How long do we retain personal data?
We retain the personal data of the ambassadors and their management for as long as they are ambassadors of the Youth Fund. If the ambassadorship ends, we will delete the relevant personal data.
To whom do we provide the personal data?
We provide personal data only to individuals who work for us and to third parties to the extent necessary for the purposes stated above. Third parties to whom we provide personal data include IT service providers.
We use images of children, young people and other people (such as teachers) for various purposes.
Why do we process these personal data (purposes)?
We can process the images for:
- our websites and social media channels;
- newsletters and invitations;
- offline communication tools: posters, leaflets, flyers, cheques, postcards, etc.;
- promotional materials: roller banners, fence flags, printed clothing, mouse pads, etc.;
- supporting the message in (internal) manuals, reports, project and grant applications;
- paid advertising in print media;
- paid online advertisements on websites, social media, newsletters (external);
- supporting the message in PR activities: images for press releases, articles/publications in online and offline media, image and video displays as background for TV programmes, at conferences or (PowerPoint) presentations;
We ask permission for the use of images (other than 'Report of the Day', see below). Other purposes may also be included in this permission request.
We store contact information for the individuals appearing in the photos and videos, or for their parents/guardians. This allows us to contact them if we wish to use the photo and video material for purposes other than those for which it was originally collected.
On what legal basis do we process personal data?
We have a legitimate interest in using images to provide a "Report of the Day" on our websites and social media channels. With this "Report of the Day," we want to show how enjoyable the events we organize are. This is solely a reference to or a retrospective of the event.
We request explicit permission to use images for other purposes. We will then use the images only for the purposes specified in the consent request.
We have a legitimate interest in storing your contact details: storing your contact details enables us to discuss the use of your photos and videos for other purposes.
Anyone appearing in images published on our website or social media pages always has the right to inform us that they no longer wish to appear in such images.
How long do we retain personal data?
We generally retain photos and videos for as long as they are current and appropriate for the purposes for which we collected them or subsequently processed them. If necessary, we will request permission again. We retain the associated contact information for as long as we retain the photos and videos.
To whom do we provide the personal data?
We provide personal data only to individuals who work for us and to third parties to the extent necessary for the purposes stated above. Third parties to whom we may provide personal data include our IT service provider and parties who assist us in promoting our message.
In addition, personal data may be shared with local foundations of the Youth Fund. More information about this can be found at https://jeugdfondssportencultuur.nl/mijn-fonds/In such cases, we are jointly responsible for compliance with privacy legislation with local foundations such as the Youth Fund for Sports & Culture. It is possible that a local Youth Fund foundation takes a photo or video and shares it with us; in that case, the information provided in this privacy statement also applies.
By sharing the stories of Meerkrachten, teachers, and parents on our websites, we aim to familiarize and inspire our visitors with our message. We process personal data from these "storytellers."
What data do we process?

Why do we process this personal data (purpose)?
We process personal data primarily for the publication of the story and photo on our websites. We also use some of the personal data for communication with the person sharing their story.
On what legal basis do we process personal data?
We process personal data because we have a legitimate interest in doing so. This legitimate interest concerns achieving greater reach with our message and a positive image surrounding that message.
How long do we retain personal data?
We retain the personal data for as long as we deem the story relevant and appropriate for the website. We will, in any case, remove the story from our website if the storyteller requests it.
To whom do we provide the personal data?
We only provide personal data to individuals who work for us and to third parties to the extent necessary for the purposes stated above. Our IT service provider is one of the third parties to whom we provide personal data.
On behalf of FC Groningen and the "Let's Cheer Together Again" Foundation, the Groningen Youth Fund for Sports & Culture is giving away season tickets to parents and children in the city and surrounding area who have received support from the local Youth Fund. The Groningen Youth Fund processes personal data for this purpose.
What data does the Groningen Youth Fund process?
Parent's first and last name, parent's address (street + zip code), parent's date of birth, parent's gender, parent's place of residence, parent's telephone number, parent's email address, child's name(s), child's date of birth, child's gender, reason for season ticket.
Why do we process these personal data (purposes)?
To assess whether the parent and child are eligible for a season ticket. If so, the personal data FC Groningen needs to issue the season tickets will be provided to FC Groningen.
In addition, the name of the child who obtained a season ticket will be saved and included in the distribution of season tickets for the following season. Children who did not have a season ticket through the Groningen Youth Sports & Culture Fund in the previous season will generally be given priority.
On what legal basis do we process personal data?
Consent is given for the processing of personal data. This consent can be withdrawn at any time by sending an email to groningen@jeugdfondssportencultuur.nl.
The Groningen Youth Fund for Sports and Culture has a legitimate interest in storing data for the purpose of assessing applications for new season tickets. This interest concerns ensuring a fair distribution of season tickets.
How long do we retain personal data?
Personal data will be deleted as soon as possible after it has been passed on to FC Groningen, or after the parent/child has been informed that they are not eligible for a season ticket. Only the names of children who have obtained a season ticket will be retained until the season tickets for the following season are distributed.
To whom do we provide the personal data?
We provide personal data only to individuals who work for us and to third parties to the extent necessary for the purposes stated above. A third party to whom we provide personal data is FC Groningen BV.
Through the Youth Fund Sport & Culture Amsterdam's Talent Fund for Culture, talented children and young people can receive additional support to realize their dreams and further develop their skills, for example in dance, music, visual arts, or theater. The Youth Fund Sport & Culture Amsterdam collects and processes personal data for this purpose.
What data do we collect and process?
If a request is made for this, we ask for the following information:
- Parent's first and last name;
- Child's first and last name;
- Address (street, house number, postal code and city) of child;
- Child's date of birth;
- Gender of child;
- Parent's phone number;
- Parent's email address;
- Information about the activities for which the talent fund is being requested;
- Application number approved cultural application;
- Motivation letter from the child;
- Letter of recommendation from the teacher;
- Portfolio or visual material (e.g. a video) for assessing the talent.
Why do we need this personal data?
We use this information to:
- To assess whether the child is eligible for support from the Cultural Talent Fund;
- To arrange the financial support;
- Contact the family or teacher about the application;
- To account for what the money has been spent on;
- To comply with legal obligations.
What legal rules is this based on?
When submitting the application via the application form, the Youth Fund for Sports & Culture Amsterdam requests permissionThis consent can be withdrawn at any time by sending an email to amsterdam@jeugdfondssportencultuur.nl.
How long do we retain personal data?
The Youth Fund Sports & Culture Amsterdam is legally required to retain certain data, such as financial administration to account for how the money has been spent. For more information about the retention period, please contact amsterdam@jeugdfondssportencultuur.nlThe external panel has a retention period of up to 28 days after receipt of the data.
To whom do we provide the personal data?
We provide personal data only to people who work for us and third parties to the extent necessary for the purposes mentioned above, such as the external panel of arts teachers for the assessment of talent.
Privacy rights
The parents/children whose personal data we collect and process have the rights as described in section 2.1. of the Privacy Statement.

2. Information regarding the exercise of data subject rights
The individuals whose personal data we process have several rights under the Privacy Act. The Privacy Act imposes conditions on the exercise of these rights, which we will apply. Therefore, in a particular case, we may not accept a request to exercise a right.
This concerns the following rights:

- the right to correct or delete personal data;
- the right to restriction of processing of personal data;
In short, this concerns a temporary lock on personal data until an objection or problem has been resolved.

If an individual objects to a particular processing of personal data on the basis of a legitimate interest, we will cease that processing of personal data unless we have compelling legitimate grounds for the processing of personal data which override the interests of that individual.

- the right to withdraw consent to the processing of personal data. Processing of personal data before consent is withdrawn remains lawful; and
If we ask for explicit permission to process certain personal data, this permission can be withdrawn at any time by sending an email to info@jeugdfondssportencultuur.nl.
- the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
